Position: Office and Culture Coordinator

Department: Administration

The office and culture coordinator is responsible for the management of all office services, planning, communication, and events. This role will be critical in ensuring the office runs efficiently and employee morale is at its highest. We’re looking for an organized and motivated self-starter who will play a key role in helping to shape the office culture and executing on CEO and Leadership team needs and companywide events. The position requires strong time management, organizational, and communication skills. The idea candidate will always meet critical timelines, use resources efficiently, and communicate decisions effectively within the organization.

Responsibilities:

  • Manage all office services and maintain respective contracts
  • Ensure necessary office supplies are available as needed
  • Manage office budget for services and events
  • Manage office and company communication
  • Maintain companywide calendar
  • Schedule monthly all company meetings
  • Coordinate critical leadership team planning, communication, and meeting needs

Position: NetSuite Systems Administrator

Department: Operations

Reports To: Sr. Operations Manager

Location: Santa Barbara, CA


The NetSuite Systems Administrator will oversee all NetSuite activities, reporting, data management, updates, process improvements and perform routine IT support. This person will work cross functionally to ensure NetSuite runs smoothly and is properly supporting the day to day operations. In addition, candidate will work closely with each team to optimize the user experience, standardize and document processes and drive efficiency. A successful candidate will have strong knowledge of NetSuite, be an excellent problem solver, solution oriented, strive to understand business processes, listen, work collaboratively and show respect for others in all circumstances.

Responsibilities:

  • Lead the configuration, development, and continued evolution of NetSuite as Toad&Co’s principal ERP, Retail POS system (SCIS) and E-commerce platform (SCA)
  • Manage version updates; test functionality to ensure a smooth roll out
  • Maintain the NetSuite application and other related 3rd party business applications for internal users
  • Design, implement, and maintain configurations and customizations within NetSuite
  • Integrate, support, and maintain 3rd party software connections to NetSuite
  • Configure views and optimize other front-end tools and customer-facing documents
  • Support end user requests for new saved searches, reports, KPIs, and dashboards
  • Provide internal, ongoing system/technical support to NetSuite users, including training
  • Provide support and troubleshooting with regards to all aspects of NetSuite and data integrity

Position: Production Associate

Department: Product

Reports To: Sr. Director of Supply Chain

Location: Santa Barbara, CA


We’re looking for a Production Associate to manage the day-to-day deliverables related to factory production timelines, order placement, front-to-back quality control, warehouse shipment tracking, and systems data entry. This position will work directly with key internal functions: Product, Design, Planning, Logistics and Sales, and external vendors and freight forwarder, to execute to the corporate pipeline calendar. A successful candidate will execute on a process that ensures efficiency and delivery precision of high quality product.

Responsibilities:

  • Execute the sourcing strategy to accommodate current business needs as well as long term supply chain growth.
  • Help to manage relationships with factories (and agents where applicable).
  • Work with internal cross-functional peers to execute to a seasonal calendar for sample and bulk production.
  • Work closely with Sr. Director, Design, Materials and Product Development on initial style and material allocation and development trouble shooting.
  • Drive the purchasing process including materials commitments, addressing materials and factory minimums, production capacity, and lead-times.
  • Assist with seasonal cost negotiations.
  • Write and execute on purchase orders (samples and bulk production).
  • Coordinate the transition from the development of our materials at the mills to the purchasing and delivery of those goods to the factories.
  • Manage on-time sample and bulk shipments to warehouse in coordination with freight forwarder, including data input/tracking via NetSuite.
  • Manage excess materials inventory and stock fabric programs.
  • Measure the performance of all factories. Work with the Sr. Director of Supply Chain to put appropriate strategies in place when vendors are not meeting performance goals.
  • Execute bulk quality controls. Address any quality issues with the factory, manage charge backs if necessary, and ensure measures are taken to correct the issue.
  • Work with internal and external teams to drive sustainability initiatives related to production.

Qualifications:

  • 4-5 years of experience with knit and woven garments preferred.
  • Working knowledge of garment and textile manufacturing processes.
  • Understanding of apparel product process from concept through to order delivery for knit and woven items.
  • Working knowledge and understanding of forecasting, buy planning, and capacity planning.
  • Excellent analytical and problem-solving skills.
  • Strong computer skills and the ability to obtain information from various systems. Experience with ERP and PLM systems preferred.
  • Must be proficient with Microsoft Excel.
  • Ability to effectively communicate in written and verbal form with a diverse audience.

Position: Junior Technical Designer/Product Developer

Department: Product

Reports To: Product Development Manager

Location: Santa Barbara, CA


The Junior Product Developer is a key part of the Toad&Co Product team and manages the day-to-day deliverables related to development from design hand-off through production. This position will work directly with internal functions: Product, Design, and external vendors to execute to the corporate pipeline calendar. A successful candidate will execute on a process that ensures accuracy and efficiency.

Responsibilities:

  • Own the fit process of identified set of styles per season. It will require working with internal partners and external vendors to execute to design aesthetic, quality standards and cost parameters.
  • Assist with maintenance and communication of accurate proto specification packages, including illustrations and technical sketches, fabric and trims, construction details, patterns, bill of materials, and measurement charts.
  • Maintain the seasonal line list with product details given from cross-functional partners. Assist with the workbook process to validate product details.
  • Keep sample status tracker updated with correct style number and vendor information.
  • Assist with product development tasks, i.e. schedule fit models for fit sessions, maintain fit schedule (both before and during fittings) measure protos, organize product for key presentations, etc.
  • Check in all fit samples associated with the product to ensure their movement through the product development process in coordination with the development calendar. Send receipt notifications to vendors.
  • Assist with review of QC issues with Production and factories to evaluate and clarify issues and suggest improvements.
  • Assist with preparation for seasonal key customer meetings related to product needs.
  • Maintain PPS and sample archive.

Qualifications:

  • Understanding of apparel product process from initial tech pack to top of production approval for knits and wovens.
  • Basic knowledge of garment manufacturing processes.
  • 1-3 years of experience with knit and woven garments preferred.
  • Excellent attention to detail with strong follow through. Must be able to organize and prioritize multiple projects in a fast-paced environment.
  • Strong analytical and problem-solving skills.
  • Strong computer skills and the ability to obtain information from various systems. Experience with PLM system preferred.
  • Must be proficient with Microsoft Excel and Adobe Illustrator.

Position: Customer Service Representative

Department: Operations

Reports To: Sr. Operations Manager

The Customer Service Representative will build brand awareness, trust and loyalty by providing an exceptional customer experience. This position will support all aspects of customer service via written and verbal communication with both our direct and wholesale customers.

Responsibilities:

  • Provide excellent customer service:
    • Troubleshoot and provide accurate information to customer questions or concerns related to orders, garments, shipments, returns, exchanges, web experience, and company service & environmental initiatives
    • Work with a team to process returns and exchanges and ensure a smooth transaction for the customer
    • Participate in team meetings and report any customer service related issues
    • Monitor web site reviews and respond appropriately to any customer service issues
    • Respond to customer inquiries in a timely manner
    • Field customer phone calls/orders
    • Follow up on customer interactions
  • Participate in all aspects of order management:
    • Work with warehouse and logistics teams to ensure on-time shipping; notifying customers when there are delays
    • Run oversold and allocation reporting to ensure orders are ready to ship
    • Work with customers and sales reps to make order edits, enter new orders and audit orders for accuracy
  • Handle customer inquiries through multi-channel communication (telephone, email, social etc.) to ensure a ‘wow’ customer experience
  • Product education: communicates features, benefits, fabric properties, usage, and care instructions using various channels of communication
  • Utilize all systems accurately and efficiently
